Welcome to the NFL FLAG League Operator registration guide — your week-by-week overview of what to expect as you kick off your league. Whether you're a seasoned operator or just starting out, good planning is key, so let's dive in.

Week 14

 

  • Create or update your website: Ensure all league information is current and easily accessible.
  • Create coupon codes, if needed: Prepare special offers to incentivize registration.
  • Finalize flyers and other marketing materials: Use our templates in MediaValet to create messaging to promote your league.
  • Get ready to activate your leagues in Matrix: Set up league structures and schedules.
  • Finalize "Registration is Open" email to families: Communicate clearly to potential participants.

Week 13-12

 

  • Determine age groups and divisions: Organize participants for fair competition, but be flexible for changes based on registration numbers. 
  • Review and adjust code of conduct or other policies: You can follow our guidelines here
  • Secure your fields: Confirm locations for games and practices.
  • Distribute flyers locally: Spread the word in your community and connect with local schools for distribution. 
  • Market your league: Spread the word on social media, too.
  • Finalize coach's meeting location and agenda: Prepare for orientation and training.

Week 11-10

 

  • Book picture day with photographers: This is another task that you’ll want to knock out earlier than later. 
  • Reach out to Game Day reps, if you have them: Confirm staffing for game days.
  • Send "Registration is Open" communications: Use email and social media to announce your league’s registration. 

Week 9-8

 

  • Post Game Day Rep openings: Recruit additional staff if needed. Consider high school and local college players looking for extra work.  
  • Post Flyers in PeachJar: Expand visibility in schools and community hubs.
  • Update your Facebook page with registration info: Keep social media followers informed.
  • Order yard signs: This is optional and helps increase local awareness.

Week 7-6

 

  • Secure concessions: Arrange amenities for game days, if you have them.
  • Post ads on social media: Maintain engagement and attract new participants.
  • Follow up with schools: Ensure partnership and support.
  • Confirm game-day rep positions: Ensure all roles are filled for smooth operations.

Week 5-4

 

  • Consider social media contests: Promote registration with incentives! 
  • Recruit volunteer coaches: Usually a parent or guardian of a registered player. We like to see 2-3 coaches per team.  
  • Send marketing communications: Remind families of approaching deadlines.
  • Consider shopping cart reminders: Parents are busy, and this can help reduce abandoned registrations.

Week 3-2

 

  • Post Dick Sporting Goods coupon code: Provide discounts for participants.
  • Finalize staff for coach's meeting: Prepare for training and orientation.
  • Ensure yard signs are deployed: Maximize local visibility.
  • Recruit volunteer coaches: Keep asking, if you need them! 

Week 1

 

  • Send final registration communications: Confirm participation and finalize details.
  • Select Facebook contest winner: Who doesn’t love winning a contest?
  • Create "What to Expect" email: Connect with families who have registered, letting them know details about your league, like game days, time frames, location, etc. 
  • Finalize field payments: Ensure logistics are handled.

Pre-Season Preparation

 

  • Organize equipment and uniforms: If you didn’t select Team Packing, ask a volunteer to help you sort through your orders. 
  • Conduct coaches' meetings: Train and align with league standards.
  • Check open orders and balances: Manage financial responsibilities.
  • Complete schedules: And communicate schedules with coaches as early as possible. 
  • Coordinate with photographers: Nail down picture day details. 

Game Day Execution

 

  • Check fields ahead of time: Ensure fields and equipment are set up properly.
  • Be on site or available: Oversee game operations.
  • Have fun! Foster a positive environment for participants.
